1. Answer, screen and transfer inbound phone calls.
2. Open, sort and distribute incoming correspondence & faxes & mails.
3. Receive and interact with direct visitors, vendors and clients.
4. General reception duties, return calls as appropriate, usually per request.
5. Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing.
6. Prepare presentations when required.
7. Keep filing/document system organized, retrieve documents from filing system.
8. Research, typing, correspondence, sending faxes, and follow-up.
9. Perform clerical duties for events and assist with creation of displays, conferences, board meeting arrangements.
10. Schedule and coordinate travel arrangements and hotel reservations
11. Maintain office calendar to coordinate work flow and meetings.
12. Coordinating public relations tasks like receptions, parties, etc.
13. Sign for and distribute UPS/FedEx or similarly delivered packages.
14. Coordinate and maintain records for staff, office space, telephones, parking and office keys, petty cash, etc.
15. May conduct research, compile data and prepare papers for presentation.
16. Arrange for the repair and maintenance of office equipment.
17. Covering the work of the secretary of the honorary consulate when needed.
18. Covering the duties of the office manager in his absence or when needed.
19. Other duties as assigned by the office manager.
