The telephone operator is responsible for making and receiving phone calls from clients, customers and suppliers. The central duty of the operator is to courteously greet customers and members of the organization and provide them with excellent customer service. The telephone operator will direct phone calls to the designated department and give customer assistance to questions or concerns a person may have.
Responsibilities:
The Telephone Operator’s principal accountabilities include, but are not limited to:
• Greets customers warmly and politely and asks how to help
• Understand the caller’s needs and transfers calls to the person or department in the firm, while mentioning to the caller his routing destination
• Assess customer needs while meeting quality standards for services, and evaluation of customer satisfaction
• Operate a manual or computerised switchboard
• Operate and maintain a CRM system
• Test lines and report faults
• Keep records of calls placed and received, and of related toll charges
• Update directory information
• Take and relay messages
• Arrange conference calls
• Provide information to supervisors and co-workers by telephone, in written form, e-mail, or in person
• Ensure that all messages are communicated and received clearly by the requested person
• Develop constructive and cooperative working relationships with others, and maintaining them over time
• Perform other clerical duties as necessary
