Administrative Assistant - Cairo Center for Development Benchmarking

Job Description: Performs administrative and office support activities for the director and employees. Duties may include but are not limited to; fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and filing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. 
Job Responsibilities:
Administrative Assistants perform a wide range of duties which include some or all of the following;
1) Front desk coordination
• Manages the company's lobby area and greets visitors/clients in a professional and friendly manner
• Answer general phone inquiries using a professional and courteous manner and direct phone inquiries to the appropriate staff members when required
2) Office administration: 
• Performs general clerical duties to include but are not limited to; data entry, filing, photocopying/scanning, mail distribution, arranging letters and invoices, etc.
• Sort and distribute incoming mail to areas and staff within the organization and dispatch outgoing mail
• Use computer word processing and spreadsheet to prepare reports, memos, and documents
• Purchase, receive and store the office supplies ensuring that basic supplies are always available
• Code and file material according to the established procedures
• Back-up electronic files using proper procedures
• Coordinates meetings and conference calls as needed or anticipated
• With the Executive Director, prepare meeting agendas and supporting material for distribution
• Prepares meeting materials and assists with the development of PowerPoint presentations
• Draft minutes of Board meetings for review by the Executive Director
• Create action list got management staff from board meetings
• Coordinate the maintenance of office equipment as; computers, printers, etc.
3) Human resources management: 
• Screen telephone calls, conduct internet search to locate potential job candidates, and screen resumes
• Prepare, maintain and manage interview schedules and correspondences
• Compile and send new hire information to accepted applicants
• Maintain and file applicants' information as well as employees' database records
4) Assist with financial management: 
• Monitoring and recording daily expenditures and report it to the director at the end of each month
• Process accounts payable ensuring timeliness and accuracy of information
• Undertake other duties such as; banking, payroll functions, etc.
