Administrative Affairs & Public Relations Manager

Objectives of position: • Represent the group of companies with all the official government bodies. • Supervise providing administrative services for the departments and sections of the group as per systems and standards. • Guidance, follow-up and evaluation of the activities of the employees and verification of the performance of the duties assigned to them in a timely manner in accordance with the technical standards required. Essential duties and responsibilities: 1. Plans, organizes, coordinates and monitors the Group's internal administrative work and participates in the formulation and development of the group’s policies & procedures. 2. Make sure that the Group and its employees take into account their legal obligations and monitor their application. 3. Full supervision on the functions and work of the architectural department, including renovation and maintenance of the facilities and buildings of the group. 4. Issuance of all regulations and administrative instructions and to ensure its application in all of the group’s locations. 5. Drawing up & implementation of contracts and agreements with services providers firms (security, cleaning ... Etc.), & outsourced maintenance companies (media, photocopiers, air conditions ... Etc.) and follow-up work. 6. Maintaining the overall appearance of the Group (hygiene, housekeeping… Etc) 7. Follows and supervises the performance of administrative affairs specialists and Secretaries to make sure their duties fully meet all requirements and provide support services to create the appropriate climate for employees (stationery, publications, housekeeping, buffets, means of communication, mail, ventilation, lighting, quick maintenance of facilities, ... Etc) 8. Keeping records for the short-term advances given to employees of the group. 9. Responsible for all types of insurance in the group including company assets, property, & cash couriers. 10. Supervise the preparation for visits and meetings and events for the group either internally or externally. 11. Supervise all procedures for booking & transportation for visitors to the group. 12. Establish a system for the circulation and archiving of mail. 13. Coordination with legal consultant to pursue all the issues and all matters relating to disputes with any third parties. 14. Coordination with legal consultant and Legal Affairs in investigations and recommendations, and communication with the authorities when needed. 15. Issuing & keep records for the assets lease or purchase or sale of assets or corporate headquarters, and engineering drawings for the group. 16. Dealing with government bodies and official authorities & public utilities. 17. Follow-up to the maintenance and correct usage of company cars and overseeing licensing and downloading the offending any corruption or irregularities. 18. Objective evaluation of service providers & contractors.
