Executive Secretary

• Receive client emails, distribute to appropriate personnel and follow up on main tasks
• Answer phone calls and redirect them to appropriate personnel when necessary
• Liaise with other agencies, organizations and companies
• Develop and maintain a filing system
• File and update contact information of employees, customers, suppliers and external partners
• Follow and maintain certificates, international standards and maintenance records
• Prepare and distribute correspondence, memos and forms
• Follow up on main managerial tasks and ensure their scheduled completion
• Manage and document petty cash expenses and manage and replenish office supplies
• Make travel arrangements
• Support and facilitate the completion of regular reports
• Undertake occasional receptionist duties
