• PO DOCUMENT CONTROL
Control the PO documents, Archive all the documentations related to the Purchase Orders in the P&L cabinets and upload it on SAP system.
• EXPEDITING
Communicate the daily issued PO to the logistics supervisor, Contact the vendors to expedite the status and delivery of the goods, Coordinate and check receipt of goods with Logistics and Warehouse Departments, Expedite the end user to complete the good reception process on SAP to allow for invoice processing, Prepare and issue monthly expediting report and extract data from SAP System.
• PURCHASE ORDERS MANAGEMENT
Record the signed POs data in the Expediting File, Email/Fax the signed POs to the respective vendors and request them to acknowledge receipt of the order and terms confirmation, communicate any delivery modification from the vendor to the concerned parties (Buyers in charge and Customs department) for necessary action if required. Expedite the orders after checking their status on the Customs File, e-mail and system before contacting the vendor, Inform the vendors about the status of their invoices (when specifically requested by the buyer in charge), Update Vendors Master List, keep records, update the buyers with any new potential vendor, and update the related list.
• LOGISTICS:
Communicate the daily issued POs to the Logistics & Permits supervisor to plan the collections accordingly.
Collect orders that are dispatched to Cairo office and send them to the customs & permits.
• INVOICING
Compare order and invoice’s total amount and check if they match, send it to the buyer in charge for review and approval.
Follow up the status of the invoices on the system and inform the vendors about their status.
